What belongs in a meetup description?
Updated · 2 min read
A useful meetup description says what you will do, when, where, what it costs and how to confirm. It also explains preparation, spots and possible changes. It does not need to promise friendship or ask for intimate information.
Which fields should you include?
| Field | Example to adapt |
|---|---|
| Activity | Coffee and conversation about reading |
| Date and duration | [Full date], 5–6 pm, Buenos Aires time |
| Public place | [Café], [address], main entrance |
| Spots | Four in total, including me |
| Cost | Everyone pays for her own order; check conditions |
| Confirmation | Confirm here before [date] |
How do you explain preparation and access?
Include required reading, tickets or supplies before confirmation. Describe access only when checked: for example, steps at an entrance you verified. If a venue condition is unknown, say it is pending and ask the venue. Do not request medical information to ask which format adjustment would help.
How do you avoid an ambiguous invitation?
“Let’s meet around Palermo whenever” leaves the date, place and purpose unresolved. Replace it with a specific proposal and a simple way to accept or decline. Say whether it is for friendship and whether people can come alone. Do not describe participants as guaranteed when they have only expressed interest.
What should you check before sending?
- Replace every example field.
- Check that the date and day agree and the time has context.
- Verify the public venue and its current conditions.
- Include the organiser in the spot count when she participates.
- Explain how rain, delays and cancellations will be communicated.
- Ask for photo consent at the meetup, rather than making it automatic on joining.
Frequently asked questions
Does the description have to be long?
No. Essential information can fit in a short message. Add details when they affect the decision, such as costs, preparation or venue conditions.
Should I include my home address?
Use a public meeting point for a first meetup. There is no need to publish your home address or participants’ personal locations.
Does the template book the meetup?
No. It is sample text to adapt and share yourself. Confirm the venue and its arrangements directly; an invitation does not book a table or create a LoopClub plan.
